How to Digitise Business Cards into Your CRM

Turn paper business cards into useful CRM records with a repeatable capture, review, context, consent and follow-up workflow.

Digitising business cards is not just a data-entry job. Whether you use a business card OCR app, an AI business card reader or manual entry, a useful CRM record still needs accurate contact details, the context behind the conversation, a clear owner and a sensible next action.

The best workflow captures that information while the meeting is still fresh. It also gives a person the chance to review what the scanner read before unreliable data starts an automation.

What a business card scanner should capture

Most cards include a name, job title, company, email address, phone number and web or social links. That printed information is only the starting point.

A five-step card-to-CRM workflow

1. Choose the destination and owner

Before an event, decide which CRM receives new contacts and who checks them. If several people scan cards, agree on one event label and a simple note format so the records are easy to filter later.

2. Capture a clear image

Use even light, keep the entire card in frame and check for glare. For double-sided cards, capture the side with contact details first and preserve any extra context separately if your workflow supports it.

3. Review before saving

Check spelling, email domains, international dialling codes and which text belongs to the person versus the company. Treat extraction as a fast first draft, not an excuse to skip verification.

Search your CRM when a person may already exist. Your team’s duplicate-management rules should decide whether to update, merge or create a record; do not assume a scanner will make that decision correctly for every CRM configuration.

4. Add context and a follow-up date

Write a short note in plain language. “Met at Expo North; interested in distributor pricing; send the technical sheet Tuesday” is more useful than “trade show lead.” Set a reminder while you still remember the commitment.

5. Save, sync and sample-check

Check a sample after the first few scans. Catching a mapping or account-selection problem early is much easier than correcting an entire event list.

Handle personal data deliberately

A business card contains personal data. In the UK, your organisation needs a lawful basis for holding and using it, must explain relevant processing, and must honour applicable data rights. Exchanging a card does not remove your responsibilities around unwanted marketing.

Build in an exit route

Your contacts should not be trapped in a capture tool. Decide how you will export records, correct mistakes and delete information when it is no longer needed.
